If an office move is on the horizon, then why not take it as an opportunity to get your documents scanned?
There are many benefits of scanning your documents as opposed to taking them with you:
- Its physically less to move, pack and unpack. You’ll have enough to pack up and move without moving boxes or cabinets full of documents. Removal costs will also be reduced so take this as an opportunity to get your documents securely scanned before you move.
- You can move to a smaller office. If your requirement for floor space is less, you can move to a smaller office. This could mean lower rent and lower bills. If you are in a larger city, this could be a very attractive benefit.
- If saving money on floor space isn’t a priority, removing the boxes or filling cabinets means you’ll have more space at your new office. This could mean more room for desks, or perhaps just mean your office is less cramped and a more pleasant place to work.
- At your existing office, your filing cabinets or boxes might be conveniently located. An office move almost always brings a change in floor plans and seating arrangements. You might find your new location doesn’t allow for your filing cabinets, perhaps your new office is adopting a hot desking policy? This could mean your documents get placed in a store room 3 floors up – not very convenient. Scanning your documents can remove this problem as they will always be available digitally and just a few clicks away.
- Things get lost during office moves. Why risk your documents getting lost somewhere between one building and another. The worse case scenario is your documents could get thrown out – mistaken as rubbish. Once again, scanning your documents into a digital format makes for a much safer office move.
